Look, we get it

Nobody really reads these things, but we figured we'd make ours actually understandable. At Noctyren Forge Hotel, we collect some info about you when you book a room or hang out at our rooftop bar. It's mostly stuff we need to actually, y'know, run a hotel. We're not gonna sell your email to random companies or anything shady like that.

This policy covers what we collect, why we collect it, and what rights you've got when it comes to your personal data. We're based in Canada but we follow GDPR guidelines 'cause honestly, they just make sense.

Personal Identification Stuff:

  • Your name, email, phone number - basic contact details
  • Billing address and payment info (though we don't actually store full credit card numbers)
  • ID or passport details if required by local regulations
  • Preferences like room type, dietary needs, that sort of thing

Automatic Collection:

  • IP address and browser type when you visit our website
  • Cookies to remember your preferences (you can disable these if you want)
  • Usage patterns - which pages you check out, how long you stay

Optional Stuff:

  • Feedback and reviews you choose to leave
  • Photos if you tag us on social media (thanks for that!)
  • Special requests or accessibility needs

We're not doing anything weird with your info, promise. Here's the breakdown:

  • Running the Hotel: Processing reservations, checking you in, handling payments, preparing your artisan breakfast the way you like it
  • Communication: Sending booking confirmations, answering your questions, letting you know about your upcoming stay
  • Improving Things: Figuring out what works and what doesn't so we can make your experience better
  • Legal Compliance: Keeping records for tax purposes and following Canadian hospitality regulations
  • Marketing (Optional): Sending you deals or news about events - but only if you've said it's cool
  • Security: Protecting against fraud and keeping our guests safe

We've got what they call "legitimate interest" for most of this stuff - basically, we can't run a hotel without processing reservations. Makes sense, right?

We're pretty selective about this. Your data might be shared with:

  • Service Providers: Payment processors, booking platforms, email services - companies that help us do our job
  • Local Experience Partners: If you book a tour through our concierge, we'll share relevant details with that provider
  • Legal Authorities: Only if required by law or to protect someone's safety

We will NOT:

  • Share your data with advertisers without your explicit consent
  • Send your info outside of Canada without proper safeguards in place

We take security seriously - like, really seriously. Here's what we do:

  • Limited staff access - only people who actually need your info can see it
  • Regular backups stored in secure locations

How Long We Keep Your Data:

  • Active Reservations: Until your stay is complete plus 30 days
  • Financial Records: 7 years (Canadian tax law requires this)
  • Marketing Preferences: Until you tell us to stop or 3 years of inactivity
  • Guest Profiles: As long as you're an active guest, or until you request deletion

Under GDPR and Canadian privacy laws, you've got quite a few rights:

  • Access: Request a copy of all the data we have on you
  • Correction: Fix any incorrect or outdated information
  • Deletion: Ask us to delete your data (with some exceptions for legal requirements)
  • Portability: Get your data in a format you can use elsewhere
  • Restriction: Limit how we process your information
  • Objection: Say no to certain types of processing, especially marketing
  • Withdraw Consent: Change your mind about stuff you previously agreed to

Our services aren't really aimed at kids under 16, and we don't knowingly collect their personal information. If you're booking a family room, we'll need basic info about children staying with you (like ages for safety reasons), but that's collected from the parent or guardian.

If we somehow end up with data from someone under 16 without parental consent, let us know and we'll delete it ASAP.

Our website might link to other sites - like local attractions, restaurants we recommend, or our social media pages. Once you click through to those sites, this privacy policy doesn't apply anymore.

We try to only link to reputable places, but we can't control their privacy practices. It's worth checking out their policies if you're concerned about how they handle your data.

We might update this policy from time to time as laws change or we add new services. When we do, we'll update the date at the top of this page.

For minor changes, we'll just post the updated version here. If we make any big changes that significantly affect how we use your data, we'll send you an email or put up a notice on our website.

It's probably worth checking back here once in a while, just to stay in the loop.
